This is an exciting new temporary position at Apadmi with the potential to become permanent.

As our Office Coordinator, you’ll assist our Office Manager at our Apadmi HQ operations on a daily basis, being the face of our brand to new and existing clients

We’re looking for an outgoing, organised and confident individual who can deliver exceptional customer service and make sure our colleagues and clients have a positive experience whilst with us.

We currently have operations in Manchester & Edinburgh in the UK and recently acquired a digital company in Amsterdam.

You’ll be based at our Apadmi HQ in Salford Quays so you must be comfortable with being in the office daily, and may include occasional travel to new facilities in the UK.

What you’ll do

Highly motivated to deliver exceptional customer service, key elements of the role include:

Reception; all calls to be answered, transferred or message taken & forwarded accordingly ensuring the use of pardot form is completed for potential New Business Leads. All missed calls are to be returned and followed up with evidence.

Meeting & Greeting;  delivering excellent internal and external customer service – welcoming guests, clients, customers, suppliers and contractors.

Assisting with general upkeep of the office to ensure it is presentable at all times.

Assisting with the administrative elements of the day to day office operations.

Ensure the office is maintained, supplies are audited and restocked when required

Arrange meetings and events, booking travel and ensuring that the appropriate visitor administration is completed along with friendly, professional meeting & greeting and customer service.

Responsible as part of the Facilities team, for monitoring and responding to the Facilities channels (mailbox, Slack, telephone etc.) and ensuring any key messages are relayed to the appropriate person or dealt with appropriately in good time.

Supporting staff and/or clients with travel & accommodation bookings in line with the company’s Travel policy and procedures.

Assisting with facilities reports & contracts and ensuring the departments shared folder is kept up to date with relevant documentation ; i.e. air conditioning services, catering supplier contracts etc.

Supporting in-house events when required.

Supporting the pre-planning of meetings when required in relation to refreshments, lunch orders etc.

General administration of facilities including distribution of post and/or deliveries.

Provide a client focused service and a great experience for our colleagues, clients, suppliers, contractors and visitors.

Build strong relationships across the business, with understanding of when to escalate issues.
